LazyTradie is an AI-powered booking automation and voice receptionist platform for Australian tradespeople, integrated with ServiceM8. By using our platform you agree to the practices described in this policy.

02 Information We Collect

03 How We Use Your Information
We use the information we collect strictly to operate and improve the LazyTradie platform:
- To authenticate and connect your ServiceM8 account securely via OAuth
- To create, update, and manage jobs in ServiceM8 on your behalf
- To operate the AI booking assistant that handles customer enquiries via SMS and web chat
- To operate the AI voice receptionist that handles inbound calls on your behalf
- To send automated booking confirmations, reschedule notifications, and job alerts
- To process and route emergency job requests to the correct tradie
- To generate and send invoices through your ServiceM8 account
- To provide platform support and communicate service updates
- To monitor platform health, fix bugs, and improve reliability
We do not use your data for advertising, sell it to third parties, or use it to train AI models.
04 ServiceM8 Integration
When you connect your ServiceM8 account to LazyTradie, you authorise us to access it via OAuth 2.0. This means:
- We receive an access token and refresh token — stored securely and used only to perform actions you have authorised
- We register a webhook inside your ServiceM8 account to receive real-time job update notifications
- We never store your ServiceM8 password
- You can revoke our access at any time from ServiceM8 under Settings → Integrations
OAuth scopes we request: read_jobs create_jobs manage_jobs read_customers manage_customers read_customer_contacts manage_customer_contacts publish_email manage_schedule manage_job_contacts read_staff read_inventory — only what's necessary to run the booking automation.
05 SMS & Web Chat Data
Our platform communicates with customers via SMS and an embeddable web chat widget hosted on your business website:
- Inbound customer SMS messages are received via our SMS gateway and processed by the AI booking agent
- Outbound SMS messages (booking confirmations, alerts) are sent to customers using their phone number from the booking record
- Web chat conversations are handled via an embeddable widget — no account is required for customers to use it
- Customer phone numbers are used solely to route replies back to the correct customer
- We do not store SMS or web chat histories beyond the current booking session
Note for customers: If you contacted a tradie via SMS or web chat powered by LazyTradie, your phone number and message content are processed to complete your booking request. This data is shared with the tradie you contacted and entered into their ServiceM8 system.
05b Voice & Call Data
Our platform operates an AI voice receptionist that handles inbound phone calls on behalf of tradespeople. When a customer calls:
- The caller's phone number is received from the telecommunications network — it cannot be manipulated by the caller
- The call is transcribed in real-time to process the booking request
- Verbal information (name, address, job description, preferred time) is used solely to create a booking record
- Call transcripts are not stored beyond what is needed to complete the booking
- No call audio recordings are retained after the booking is processed
Note for callers: If you called a tradie whose calls are handled by LazyTradie's AI receptionist, your phone number and the details you provided are processed to complete your booking. This information is shared with the tradie you called and entered into their job management system.
06 Data Storage & Security
All platform data is hosted on secure cloud infrastructure in Australia. We implement the following security measures:
- OAuth tokens are stored encrypted and never exposed in logs or URLs
- All data transmission uses HTTPS/TLS encryption
- Access to production systems is restricted to authorised personnel only
- Webhook endpoints use challenge verification to prevent spoofing
- API keys and secrets are stored as environment variables, never hardcoded
- Internal services are bound to private network interfaces and not publicly accessible
While we take commercially reasonable steps to protect your data, no system is 100% secure. Notify us immediately at hello@lazytradie.com.au if you suspect unauthorised access.
07 Data Retention
We retain data for as long as your account is active or as needed to provide the service:
- OAuth tokens — retained while your ServiceM8 connection is active; deleted upon disconnection
- Job & booking records — retained for 12 months after job completion, then deleted
- SMS & web chat content — processed in real-time; not stored beyond the current booking session
- Call data — not retained after the booking is processed
- Account information — retained until account closure, then deleted within 30 days
08 Your Rights
Under the Australian Privacy Act 1988, you have the right to:
- Access — request a copy of the personal data we hold about you
- Correction — request correction of inaccurate or incomplete data
- Deletion — request deletion of your personal data (subject to legal obligations)
- Portability — receive your data in a structured, machine-readable format
- Withdraw consent — disconnect your ServiceM8 account at any time to stop all data processing
- Complaint — lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au

We may update this Privacy Policy from time to time. When we do:
- We will update the "Last updated" date at the top of this page
- For material changes, we will notify active users via email
- Continued use of the platform after changes constitutes acceptance of the updated policy
